Historical archives of the East Kutai Government can be well documented by converting them into electronic or digital files.
Heaptalk, Jakarta — The East Kutai Library and Archive Department (Dispusip) plans to launch a program to digitalize historical archives and documents in 2023. The Head of the Library and Archives Department Ayub delivered that historical archives can be well documented by converting them into electronic or digital files.
The program will be implemented in stages according to the existing budget. “We have proposed the program which is ready to be implemented. The implementation will need the support of an adequate budget and qualified human resources,” said Ayub.
Further, the participation of regional apparatus organizations (OPD) is needed to support this plan by assigning human resources as archivists. The digitalization program will require skilled archivists in sufficient numbers as they will secure and manage state archives. This program can be implemented from the regency to the village level.
Ayub said, “To train employees, we will conduct technical guidance. We also correspond with the East Kalimantan Library and Archives Department to support the program. Hopefully, this technical guidance can be implemented next year. The human resources will include employees from the regency to village levels who are in charge of handling archives.”
Procurement of digital archives also aims to avoid problems with storing archives in physical form in warehouses that are prone to damage. In the form of digital archives, documents can be stored in a more secure platform and can be accessed in a short time. To implement the program, Ayub said the department will require an additional budget.
Although East Kutai is only 23 years old, some of the archives are now difficult to find and access. If previously the archives have been stored properly, these issues will not occur. In his closing statement, Ayub expected the digitalization program can help to secure the historical documents in East Kutai.
